T&Cs - BOOKING, PAYMENT, CANCELLATION & 'NO SHOW' POLICY
We would urge you to take out appropriate travel insurance to ensure that you are covered in case of cancellation by either party.
No payment is taken on booking, as plans change and dates may shift, and we do our best to accommodate this. Plus it is expensive for us to process refunds and we are a small business with tight profit margins and big electricity bills to pay!
You will be sent a Payment Link by email (for card payment) around 14 days of check in, and full payment is due (at the latest) 7 days before check in.
If there is a cancellation within 7 days of check in, refunds will only be given if the booking can be filled last-minute by the Glenfinnan Sleeping Car (usually we are able to fill any spaces, as we are very busy, except at the beginning and end of our season).
We are not greedy corporate crazies, so will always try to come to a compromise with guests, such as moving the booking to another date, or giving a credit for use on another date if payment has already been made.
We are also open to discussing payment plans for multiple night stays to spread the cost. Just reach out and email us. Thank you!
In the event of a 'no show', the full price of the booking including any extras, will be charge to the card linked to the booking. 'No shows' deprive us of income, and do not give us a chance to re-sell a compartment. Usually, we will wait a few days after a 'no show' in case there has been a genuine reason for it and the guest or representative gets in touch, before we debit the card.
ACCESSIBILITY
Sorry we are not fully accessible, as there is a single flight of fairly widely-spaced steps to the carriage entrance door, and also from the emergency exit.
TERMS & CONDITIONS
Please read the Terms & Conditions before you book - by booking you are agreeing to each and every one!
Parents with children: please note that top beds are high, stones are uneven and boggy bits are yucky. Children under 5 should not sleep in the top bunks. We are on a real, working Station with associated traffic and trains. More than 600,000 visitors come to Glenfinnan every year, and the Station gets extremely busy with visitors in cars racing up to see the Jacobite steam train. No unaccompanied children anywhere on the Station site, please, it's not a playground. There is plenty of woodland and hillside for play.
Please assess the risks for your individual children around the site if they are under 12, so that you are comfortable with those risks whilst you are staying with us.
Our doors are emergency exits and we are in a very busy place, please do not let children 'play' with the doors as is important for the comfort and safety of the other guests that these doors remain fully closed. Pressing random numbers on the code lock can cause it to lock up, denying entrance to guests.
We cannot allow strangers to let themselves into the carriage through a door which has not been closed properly, and put guests and their belongings at risk.
It also invalidates our insurance if they are left open and non-guests have access to the premises. Thank you for your understanding.
1. Arrivals/Departures
Arrivals are from 1600-2300 (4pm-11pm). If you will be arriving later (eg. the last train is running late), please let us know by WhatsApp, text, phone call or email.
Please try to be as quiet and respectful as possible when entering the Sleeping Car late. The Digital Guide contains a door code for self-entry.
Departures ARE STRICTLY BY 1100 (11am) LATEST to allow us to clean thoroughly before the next guests arrive. PLEASE MAKE SURE YOU HAVE ALL YOUR BELONGINGS/FOOD ETC WITH YOU WHEN YOU CHECK OUT.
GUESTS RE-ENTERING OR USING THE SLEEPING CAR AFTER 1100 (11am) CHECK OUT FOR WHATEVER REASON WILL AUTOMATICALLY BE CHARGED £20 ON THEIR DEBIT/CREDIT CARD.
IF YOU HAVE WHAT YOU THINK IS A GOOD REASON FOR RE-ENTRY, CONTACT US (DETAILS IN YOUR DIGITAL GUIDE) FIRST FOR PERMISSION, THANK YOU.
Left luggage If you arrive early and want to explore before check in, or want one last look at the Station Museum or Steam Train (April to end October, check times here) and need to store bags/food after you check out, you can leave your luggage in the outside locker (near the Sleeping Car entrance, all details/code etc are in the Digital Guide we send to all guests).
Cleaning We would ask that guests respect that they are in a shared space and that we have to come in daily to clean etc. Please keep belongings in your compartment and wash up and put away all kitchen items. Thank you.
Remember that guests get FREE entry to Station Museum, which is a great way to pass the time!
On departure, please help us if you can by stripping the beds and placing bedding/towels on the floor, putting any rubbish in the kitchen landfill and recycling bins, any food waste in the caddy, and placing any glass/bottles in the crates at the back of the Sleeping Car (accessed through the wooden gate) before leaving. Thank you :)
2. Groups
We welcome family groups, groups of friends, association or recreational club members getting together for relaxing breaks or share hobbies etc.
Sorry, but we cannot take single-sex groups, such as hen and stag parties, 18th/21st birthday groups or groups of unsupervised guests under 18.
The Glenfinnan Sleeping Car is not 'party central' and it would be unfair on our neighbours and Station users for us to accept such groups, sorry.
3. Sorry, we cannot accept pets - except for Whole Carriage bookings
4. Safety and security
All guests will have emergency contact details for us, and when it is appropriate to use them. No-one other than those named on the booking can occupy the Sleeping Car or use its facilities during the day or overnight, as it is a shared space for up to 10 paying guests only.
5. Quiet time
Noise pollution will be taken very seriously. We operate a strict 'no noise' policy between 2200 and 0700 to preserve the peace and quiet of our neighbours and other guests, and to respect their right to this. As a rule of thumb, if you are speaking louder than you would round the dinner table, then it's too loud!
6. Parking
Whilst we would love for everyone to come to the Glenfinnan Sleeping Car on public transport, we appreciate that many guests will still travel to us by car (hopefully quite a few in electric cars), so we provide 4 parking spaces - 1 x parking space per compartment.
If you wish to bring any extra cars, please email the Station Museum Trust on glenfinnanstationmuseum@gmail.com as they have a small car park at the bottom of Station Road. Parking there is at their discretion.
NB: we cannot accept vehicles (such as motorhomes) over 4.5 metres/15 feet in length.
7. Respect the stags!
One of the benefits of living on the doorstep of such an amazing wild place is the presence of red deer stags. In the winter months they come down from the hills and can be seen in and around the village. Even in the summer they can be found mooching about the village. Please remember these are large, wild animals weighing around 200kg so give them a wide berth and please don't try to hand feed them or leave food out for them. 'Tame' stags are never really tame and get quite pushy if they associate you with food. Sadly, feeding stags can lead to them becoming a danger to folk and then eventually shot by the local estate factor and his team. Keeping a respectful distance, taking photos and observing them, will prevent this from happening.
8. No smoking or shoes inside, please
Glenfinnan Station, the platforms, waiting room, car park and all areas are no smoking, as are the Sleeping Car and Dining Car. Please respect this and do not smoke or vape anywhere in the Sleeping Car or on our site.
Please, please, please take off shoes/boots inside the Sleeping Car and use the rubber 'shoe tray' just inside the door to store shoes and boots. We believe outside dirt and grime should be left outside and inside is for padding around in socks. The floor can be cool in colder months, so bring a fluffy extra pair of socks or slippers or sliders!
9. Damages
We run on very tight financial margins so all damages must be paid for. If we find damage in your compartment after your stay, an email will be sent outlining your options for paying for the damage that you have caused.
10. We are members of Scottish Hostels and Independent Hostels UK, and we are listed on Hostelz
Please note
Anyone ignoring these Terms & Conditions, and/or acting irresponsibly, will be judged to have terminated their contact with the Glenfinnan Sleeping Car, and therefore their stay, and will be asked to leave immediately.
